AI Accreditation Institute Pty Ltd, trading as AIACI™ and the AI Accreditation Institute, provides professional education, assessment, credentialing, and related services. In this policy, “AIACI”, “we”, “us”, and “our” refer to AI Accreditation Institute Pty Ltd.
This policy explains how we collect, hold, use, and disclose personal information. We handle personal information under applicable Australian privacy laws, including the Privacy Act 1988 and the Australian Privacy Principles where they apply to us.
2. Information We Collect
The information we collect depends on how you interact with AIACI and may include:
- Identity and contact details, including your name, email address, organization, job title, and professional contact details
- Enrollment information, including the program selected, education level, professional experience, application responses, and an optional personal essay
- Program and assessment information, including participation, submissions, feedback, completion status, academic integrity matters, and support requests
- Credential information, including your name, program, credential identifier, issue date, renewal status, and any correction, suspension, or revocation record
- Billing and transaction information if an enrollment proceeds, such as invoice details, payment status, and records needed for accounting and tax purposes
- Inquiry and correspondence information, including messages sent to our contact, enrollment, verification, or careers addresses
- Career information, including a resume, employment history, cover letter, location, and responses to selection questions if you apply for a role
- Technical information that hosting, security, email, and font-delivery providers may process, such as IP address, browser type, device information, request time, and access logs
Please do not include sensitive information in an open-text response unless it is necessary and you consent to us handling it for the stated purpose.
3. How We Collect Information
We usually collect information directly from you when you:
- send an inquiry or enrollment request
- participate in a program or assessment
- request support or credential verification
- apply for a role or send an unsolicited application
- communicate with us by email or through another agreed channel
The forms on this website currently prepare an email in your own email application. The website does not store the form response in an AIACI website database. Your information is transmitted only when you choose to send that email, and it is then handled by your email provider and ours.
For organization-sponsored or Volume Booking Discount arrangements, we may receive basic participant details from an employer or booking contact. We may also receive information from professional references, service providers, or public professional sources when you have consented to this, would reasonably expect it, or when collection is otherwise permitted by law.
4. How We Use Information
We may use personal information to:
- respond to inquiries and assess enrollment requests
- deliver programs, assessments, feedback, support, and learner communications
- issue, renew, correct, verify, suspend, or revoke credentials where appropriate
- administer fees, invoices, Volume Booking Discounts, and financial records
- maintain academic integrity, service security, and fraud prevention
- improve our curriculum, learner experience, website, and operations
- consider employment applications and manage recruitment
- send relevant program updates or marketing where permitted, with an option to opt out
- comply with legal, regulatory, insurance, accounting, and dispute-resolution obligations
6. Credential Verification
AIACI credentials are designed to be verifiable. When a valid credential identifier is entered into our verification service, the service may display the holder’s name, program, credential identifier, issue date, active or expired status, and permanent program completion record. We provide notice of this verification use during the credential process and will correct verified information where appropriate.
Do not use credential information to misrepresent a person, collect credential information automatically without authorization, or create a competing database.
7. Website Data, Cookies, and Third-Party Services
AIACI does not currently use advertising cookies or behavioral analytics scripts on this website. Our hosting and security providers may generate standard access and security logs. The site also uses externally delivered fonts, and that provider may receive ordinary connection information when your browser requests those files.
If we introduce analytics, advertising cookies, or materially different tracking, we will update this policy and provide any notice or choice required by law.
8. Security and Retention
We use reasonable administrative, technical, and organizational safeguards suited to the nature of the information we hold. No internet transmission or storage system can be guaranteed to be completely secure.
We retain personal information only for as long as reasonably needed for the purpose for which it was collected, to maintain credential and academic records, to resolve disputes, and to meet legal, accounting, insurance, and regulatory requirements. A limited permanent program completion and credential history may be retained to support ongoing verification after active certification expires. We then take reasonable steps to delete, destroy, or de-identify other information where lawful and practical.
If a data incident occurs, we will assess and respond to it and make notifications required under applicable law, including the Notifiable Data Breaches scheme where it applies.
9. Access, Correction, and Complaints
You may ask to access or correct personal information we hold about you. We may need to verify your identity, and legal exceptions may apply. There is no fee to make a request, although the law may allow reasonable costs in limited circumstances.
If you have a privacy concern, contact us with enough detail for us to investigate. We aim to acknowledge complaints promptly and provide a response within 30 days. If you are not satisfied, you may be able to contact the Office of the Australian Information Commissioner.
10. Children
Our programs and services are intended for adult professionals and organizational participants. We do not knowingly solicit personal information from children under 16. If you believe a child has provided information to us, please contact us.
11. Changes to This Policy
We may update this policy when our practices, services, or legal obligations change. The effective date above shows when the current version took effect. Material changes will be communicated where required.
